Country Front Desk Receptionist/Admin Assistant

Job Role

Receives callers at the dealership, determines the nature of their business, and directs callers to their destination. Answers basic inquiries routes incoming calls, takes messages, and provides basic information to all callers

Job Responsibilities

  • Accept deliveries/mail handle distribution to the correct recipients using the office mailing system & ensure they get to the recipient in a timely manner while also managing outgoing mail & packages for pickup with HR & Admin coordinator’s supervision
  • Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Greets showroom customers and determines the nature of their visit and directs customers to the correct department, notifies the appropriate person that a customer is waiting and introduces the customer to a salesperson
  • Handle monthly airtime allocation and monthly internet renewals for managers as well as filing and data entry as requested as well as Performing ad-hoc administrative duties in addition to any other relevant duties assigned by the supervisor
  • Maintain appointment diary/note either manually or electronically, organize conference and meeting room bookings, co-ordinate meetings and organize logistics for business visits
  • Obtains basic demographic information about each customer, using an ups card, a computer system, a log sheet or other method established by the dealership
  • Serve as the face of the company, offering friendly service to those entering the building or calling in on the phone
  • Supervise/monitor cleaners in the showroom and monitor the food supplier and ensure that all invoices tally with the number of people served as well as Participate in the stock-checks of the Administration department when needed
  • With HR and Admin Coordinator’s supervision, control inventory of all stationary/water supply which has been purchased and distributed to relevant departments and consult respective departmental heads before placing any new orders


Bachelor Degree in Business Administration or Relevant field of study preferred

Required Qualifications & Skills

Minimum Experience:

1 – 3 years work experience in a similar or equivalent job

Job Specific Skills:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. printers)
  • Professional attitude and appearance.
  • Excellent oral and written communication skills in English
  • Understands and can perform basic office-practice skills, including filing, light typing, processing, and sorting functions
