Summary

Manage supply planning, sourcing, purchasing, supplier coordination, logistics, and inventory-control activities to ensure the timely and cost-effective availability of parts and materials. The role translates demand forecasts into supply plans, monitors purchase orders and shipments, maintains accurate inventory records, supports contract and supplier performance management, and identifies opportunities to improve stock turnover, warehouse capacity, service continuity, and overall supply-chain efficiency.

Tasks

  • Translate demand forecasts into short- and medium-term supply plans and communicate demand plans to the Parts Manager, acting as the primary point of contact with local and international suppliers. Forecast and specify inventory for optimum turnover to meet or exceed budget objectives in line with business expectations.
  • Review inventory continuously to improve sourcing arrangements, availability, and turnover.
  • Handle alternative-sourcing studies, sourcing and agreement initiation, including outsourcing activities and local purchases.
  • Maintain and monitor the progress of purchase orders, including weekly communication with international suppliers to obtain status updates and take proactive action to ensure company quality and delivery requirements are achieved.
  • Handle freight-carrier contracting and shipment follow-up to ensure the smooth shipping and transport of goods at both domestic and international levels.
  • Create and receive purchase orders using the ERP system.
  • Assist in coordinating post-purchase activities, ensuring faulty or damaged materials are monitored and accounted for from a stock perspective.
  • Maintain records and develop reports for the reconciliation of supply inventories.
  • Perform other related planning and procurement duties as required.
  • Optimize warehouse functions by managing stock control, planning, and forecasting; assess the impact of stock requirements on available storage space and develop warehouse-capacity plans to support logistics.
  • Liaise with suppliers by email and phone to build relationships, secure the best pricing, and source alternatives as required.
  • Work with the Parts Manager to ensure the most economical transport methods are used for importation.
  • Liaise with the Accounts team to ensure all incurred costs are accurately captured, analyzed, and understood for purchased products; follow up on invoice discrepancies and process returns.
  • Select and negotiate the best purchasing package with local suppliers in terms of quality, price, terms, delivery, and services.

Education

  • Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Commerce, Industrial Engineering, or a related field.
  • Relevant professional certification in supply chain, procurement, inventory management, or logistics is an advantage.

Experience

  • 3-5 years of relevant experience in supply planning, procurement, inventory control, logistics, or a related supply-chain role.
  • Practical experience coordinating with local and international suppliers, monitoring purchase orders and shipments, and managing inventory data.
  • Experience using ERP systems and preparing inventory, procurement, or supply-planning reports.
